Hungary’s fleet management sector is undergoing a notable shift as more companies adopt AI-supported professional fleet management systems. Although many operators still rely on Excel spreadsheets or other manual methods, those approaches are time-consuming and carry financial and HR risks.

Limits and risks of Excel-based management

In numerous firms, fleet management still depends on manually maintained spreadsheets, which are prone to errors. Missing a single deadline — for example a mandatory service — can have serious consequences. Berkovich Gábor, CEO of SeaCon Europe, warned that failing to perform a required service can lead to loss of the manufacturer’s warranty. He illustrated this with the example of multi-year warranties that require kilometer- or time-based servicing: without precise compliance, a five-year warranty could effectively be voided within the first year.

Berkovich also noted that this can mean direct repair costs in the hundreds of thousands of forints that the manufacturer will no longer cover, and incomplete service documentation can significantly reduce a vehicle’s resale value.

Software automation and analytics

Another shortcoming of Excel records is limited analytical capability. According to Berkovich Gábor, without software support companies may not discover that maintaining a vehicle is uneconomical — for instance, when a car only runs about 8,000 kilometers per year, it may be worth reconsidering whether the vehicle is needed.

Berkovich said it is essential for a system to analyze which vehicles could be economically switched to electric models based on actual usage patterns, helping avoid costly decisions made solely for sustainability reasons.

SeaCon Europe’s approach extends beyond cars: a contemporary system should handle e-bikes, public transport passes and other mobility options, presenting employees’ mobility expenses on a unified cost center.

Data security and compliance

Data protection, GDPR compliance and meeting NIS2 requirements are critical in large and multinational environments.
